What Are Extra Vacation Days?

The Extra Vacation Days functionality allows companies to grant additional paid leave days to employees beyond their standard annual entitlement. These extra days may be given for various reasons, including company policy changes, employee anniversaries, long service, internal incentive programs, or special approvals from HR or management.


Where Are Extra Days Entered?

Extra days are managed directly inside the Team (Staff) module. Each employee profile contains a dedicated field: “Extra days granted in current year"

HR can update this field at any time during the year, depending on the scenario - for example:

  • Anniversary Benefits - employees receive 1 additional day for each completed year of service.
  • Company Policy Updates - the organisation decides to increase paid leave and applies extra days mid-year.
  • Special Approval - management grants extra leave based on performance or exceptional circumstances.
  • Corrective Adjustments - HR regularizes balances after internal audits.

How Extra Days Affect the Employee’s Balance

Extra days are automatically added to the employee’s vacation balance. The system follows the Front-Loaded Model, where the full annual entitlement is granted on the first day of the year, and all additional changes are layered on top.

For each employee you can clearly see:

  • Transferred days from the previous year
  • Balance at the beginning of the year (full entitlement under the Front-Loaded Model)
  • Extra days granted during the year
  • Used days (all approved absences)
  • Remaining balance
